What belongs in the protocol?
| Field | Example |
|---|---|
| Participants, date and purpose | IT team → employee; issue or return |
| Equipment and identifier | Laptop, inventory ID IT-204, quantity 1 |
| Accessories and condition | Charger and bag; scratch on the left side of the case |
| Outstanding items | Docking station missing; return outstanding |
Issue, return or transfer?
| Purpose | What to check |
|---|---|
| Issue | Record the equipment, accessories and existing wear when first handing it over. |
| Return | Compare with the original protocol. Record new damage or missing parts separately. |
| Transfer | Record the new recipient and the current condition. |
Three tips for the handover
Identify each item clearly: use a serial or inventory number rather than just “laptop”. List accessories separately.
Check the condition together. Describe damage specifically and mark missing parts as outstanding. Keep separate photos if useful.
Check names, date and items before downloading. Then sign and give both participants a copy. Do not put passwords in the protocol.
FAQ
Questions before the handover
Are the template and downloads free without signing up?
Yes. Fill in the form and download the completed protocol as Word or PDF for free. The blank templates are free too. You do not need an account or email address.
What should I include?
The participants, date and purpose. For each item, record its name, quantity, serial or inventory number, accessories, condition and any missing parts. Add specific notes for damage or outstanding items.
Can I record both issue and return?
Yes. Choose issue, return or transfer. For a return, compare the items and their condition with the original issue and record changes in a new protocol.
How do we sign the protocol?
Word and PDF include signature lines for the person handing over and the person receiving the equipment. Review the entries together and sign after downloading, on paper or using a suitable signing tool.
What happens to my form entries?
The form and document generation run locally in your browser. Your entries are not sent to SkillPass to generate the download. You decide where to save the file and who to share it with. Do not enter passwords or secret access credentials.
