Encrypted at rest and in transit
- Encrypted storage
- We store conversation content, handbooks and the handbook PDF files encrypted with AES-256. Each piece of content is bound to its handover and cannot be moved to another one.
- Encrypted connections
- All connections to SkillPass are encrypted with TLS, including voice conversations.
- Storage locations
- The database and the handbook PDFs are kept on servers in the EU. For AI processing we use OpenAI, which means conversation content is transferred to the USA. The privacy policy lists all providers and storage locations.
- No AI training
- Your content is not used to train AI models. We send requests to OpenAI in a way that stores no responses there for later retrieval.
Access for your team only
- Separate company accounts
- Only your company account sees your handovers and handbooks. The departing person gets a personal link that only opens their own conversation. As the employer, you receive the handbook, not the conversation transcript.
- Sign-in without passwords
- You sign in with a one-time code sent by e-mail. There are no passwords that could be guessed, intercepted or reused from other websites.
- Confirmation for sensitive actions
- Before anyone downloads or shares a handbook, exports data, changes the team or deletes something, SkillPass can ask for a fresh confirmation code. An open session on someone else's device is not enough on its own.
- Team roles
- Admins manage the team, credits and data export; members work with the handovers. Anyone removed from the team loses access immediately.
- Shares for named people only
- A handbook can be shared with one specific person, such as the successor. It only opens after entering a code sent to that person's e-mail address. Shares are time-limited and can be revoked at any time.
- Activity log
- Every time a handbook is opened, downloaded or shared, it is logged. Admins can see who did what and when.
Only as long as needed
- Conversation transcript
- The conversation transcript is deleted one day after the handbook is completed. After that, only the handbook remains.
- Handbook
- The finished handbook is available for viewing, downloading and sharing for 30 days by default; admins can set 90 days or 12 months. After that, we delete the handover automatically. If the handbook has not been downloaded yet, we remind you by e-mail 7 days before.
- Delete and export at any time
- You can delete individual handovers or the whole company account yourself at any time. Admins can export the company account's data.
- Nothing in the background
- SkillPass does not access e-mails, files or screens and stores no audio recordings. The handbook is based only on what is said or written in the conversation.
